Two numbers and a classification define a UPS enquiry. The first number is the load in kilowatts, not kilovolt-amperes, because modern electronic loads run near unity power factor and a rating quoted in kVA can hide a shortfall. The second is autonomy — how many minutes the load must survive — and it is what actually sizes the battery, which is usually the largest single item in the price. The classification is IEC 62040-3, which sorts UPS by what the output depends on: VFI is double conversion, where the output is independent of both input voltage and frequency; VI regulates voltage while frequency follows the input; VFD passes both through and only intervenes on failure. A control system or a data hall wants VFI; an office load may not. State also whether the system needs a maintenance bypass, because replacing a UPS that has none means dropping the load it protects.
The more of this you send, the closer the first quotation lands.
| Load | Real load in kilowatts, and the power factor if known |
|---|---|
| Autonomy | Minutes at full load — this sizes the battery, not the UPS |
| Classification | VFI, VI or VFD per IEC 62040-3 |
| Topology | Single unit, parallel redundant, or modular |
| Input and output | Single or three phase, and the voltage at 60 Hz |
| Maintenance bypass | External wrap-around bypass so the unit can be serviced live |
| Battery type | VRLA or lithium — this changes footprint, life and cost |
| Battery location | Internal, matching cabinets, or a separate battery room |
| Room cooling | Both the UPS and the battery lose life in a hot room |
| Generator behind it | State if a generator feeds the UPS — it affects input settings |
| Monitoring | SNMP, Modbus or dry contacts to the building or control system |
| Harmonics | Input harmonic limit your specification imposes |
| Service | Commissioning, battery replacement interval and support term |
