A recorder is sized by arithmetic, and the arithmetic starts from retention. Storage needed is bitrate multiplied by camera count multiplied by seconds of retention, and every one of those three is a decision rather than a given: retention is usually set by policy or by a contract, bitrate follows from resolution, frame rate and codec, and camera count grows. Do that sum before choosing a chassis, because the common failure is a recorder that physically cannot hold enough disks to reach the required retention and quietly overwrites at three weeks when the policy says thirty days. Nobody notices until footage is requested. Two more decisions follow. Whether recording is continuous or event-based, which changes the sum by a large factor. And what happens when a disk fails — a RAID array survives it, a single-disk recorder loses everything recorded since the last one failed, which on a security system is the whole point of the system.
The more of this you send, the closer the first quotation lands.
| Camera count | Now, and the count the system must grow to |
|---|---|
| Retention period | Days required — set by policy or contract, not by the box |
| Recording mode | Continuous, event-based, or continuous at reduced frame rate |
| Bitrate per camera | From resolution, frame rate and codec — it drives everything |
| Total storage | Calculate before choosing a chassis, not after |
| Disk redundancy | RAID level, or accept that one disk failure loses recordings |
| Recorder type | NVR appliance, server with VMS software, or hybrid with analogue inputs |
| PoE ports | Built-in switch ports, and the total PoE budget |
| Client access | Concurrent viewing stations, and any remote or mobile access |
| Export | Format and audit requirements for footage handed to an investigation |
| Network segregation | How the camera network is separated from the business network |
| Environment | Comms room with cooling, or a cabinet in an unconditioned space |
| Cybersecurity | Update policy, account control, and any procurement restriction |
